Preparing for SIA’s 49th Biennial Convention in Incheon, Korea
With our much anticipated 49th Biennial Convention in Incheon, Korea, just over a year away, we know that cost is a major concern for many clubs and members. We recognize that the mandatory club convention fee that all clubs must pay can feel like a heavy burden, especially for clubs with limited funds. We understand these challenges and want to support you in making attendance possible—whether by sending a delegate or helping individual members participate.
This convention is more than an event, it offers members practical ideas, training, and mission-focused content to take home and put into action for successful programming. It’s a transformative experience filled with learning, inspiration, connection and fun! We encourage clubs and members to start planning now and to explore creative ways to offset costs.
Have Conversations with Club Members
Start discussing convention plans early to gauge interest and explore possibilities together.
Share information as it becomes available through club newsletters, social media or virtual meetings.
Encourage first-time attendees by highlighting the benefits, which include networking, professional development, and strengthening their Soroptimist commitment.
Remember: The mandatory club convention fee covers the registration fee, including meals, for one club member to serve as delegate and represent your club in the federation business meeting.
Budget Early
Planning and budgeting early can make the cost feel more attainable.
Set aside a small amount each month so when registration opens, you’ll be financially ready.
Budget for the mandatory club convention fee each year by saving for it in off-convention years, reducing the financial strain on your convention-year budget.
Include a convention line item in your 2025-2026 club budget.
Ask for contributions from family or friends as a birthday or holiday gift.
Fundraise
Fundraising can help both clubs and individuals offset expenses.
Individuals can fundraise for themselves from friends and family, helping to offset the cost of airfare or registration fees. This would be separate from any club fundraising.
Club-based fundraisers can help cover the mandatory convention fee, such as:
Hosting a local restaurant night where a portion of proceeds go to your club.
Organizing a themed potluck dinner with entry donations.
Selling club-branded items, baked goods, or creating a cookbook fundraiser. If selling items that include the “S” logo, be sure to submit the licensing application for approval.
Share your fundraising efforts widely through social media and email to encourage participation and support.
Request Employer Sponsorship
Convention is both fun and educational, offering workshops, keynote speakers and cultural experiences that provide valuable professional development. Members can ask their employers to:
Cover a portion of the registration fee or travel expenses.
Consider convention attendance as a work-related training opportunity.
Allow the use of professional development funds for convention costs.
Partner With Local Businesses
Strengthen community ties by engaging local businesses that align with Soroptimist’s mission. They may be willing to support your club’s convention attendance. Consider:
Seeking sponsorships in exchange for promoting their brand on social media, at fundraisers, or in club communications.
Creating a simple sponsorship proposal outlining how their support benefits both your club and their business.
Register Early
Take advantage of the early-bird registration rate as soon as registration opens.
Early registration has a lower fee.
Registering early gives you time to budget for travel and accommodations.
Ensures you can attend popular events (such as the Volunteer Recognition Gala) that may fill up fast.
Let’s rally together, plan creatively and support each other in making convention attendance possible! Whether through budgeting, fundraising or securing sponsorships, every effort helps. The biennial convention isn’t just an event—it’s a chance for us to grow, learn and be inspired. Thank you for your dedication to Soroptimist and for finding innovative ways to make this experience a reality. Together, we can make a difference!
