SIA Procedures Update: SIA Official Language

SIA’s Board of Directors recently voted to approve revising Section A. 5. General in SIA’s Procedures to read as follows:

Section A. 5. General in SIA’s Procedures

Current Language
The official language of SIA is English. All governing documents, official communications, and legal records are produced and maintained in English. In any instance of conflict or discrepancy between the English version and a translated version of a document, the English version shall prevail.

a.        Translations of written materials and interpretation services during meetings or events may be provided to enhance member understanding and participation. These resources are intended to assist members whose primary language is not English.

b.        While SIA strives for accuracy in all translations and interpretations, these services are not guaranteed to be exact or comprehensive. Translations and interpretations are offered solely for convenience and do not carry legal or official status.

c.        We encourage members to use the original English version or officially translated version. If members or clubs choose to translate materials for local use, they must ensure the content is clearly marked as an unofficial translation. In all cases of discrepancy or conflict, the official English version shall prevail.

d.        Governing documents such as SIA’s Procedures, Bylaws and other foundational documents are never to be reproduced in any language by any SIA region, club or member. SIA will be the sole source of translations of such governing documents.

e.        Members are encouraged to refer to the official English version of any document or communication for authoritative content. If clarification is needed, members should contact SIA headquarters.Revised Language

Budgetary provisions will be made for appropriate materials, as established by the Board, to be translated into other languages used within the Federation. Clubs may choose to receive these translated materials rather than the English version. All appropriate Federation material that must be translated shall be authorized through Headquarters. If a region or club translates any material used by the Federation, it shall provide a copy to Headquarters.

Revised Language

English is the official language of the Federation. The goal regarding this change is to ensure consistent communications and understanding, particularly in regards to official policies of SIA.
